What IT Does a Restaurant or Hotel Actually Need?

What IT Does a Restaurant or Hotel Actually Need?

Hospitality businesses need IT that works at the speed of service — POS systems, booking platforms, guest Wi-Fi, and staff turnover management.

A restaurant or hotel needs IT that never slows down service. That means reliable POS systems, booking platforms that don't crash on a Friday night, guest Wi-Fi that actually works, and a way to onboard and offboard seasonal staff without creating security holes every time.

Most hospitality businesses don't think of themselves as "tech businesses," but you're running more systems than you realise — point of sale, reservations, stock management, CCTV, music licensing, payment processing, staff scheduling. When any of those go down during a busy service, you feel it immediately.

What Hospitality Businesses Actually Need from IT

1. POS and Booking System Reliability

Your POS system is the centre of your operation. If it goes down, you can't take orders, process payments, or track stock. The same goes for booking platforms — whether that's ResDiary, OpenTable, or a direct booking engine on your website. These systems need to be monitored, updated, and backed up. Most importantly, someone needs to be available to fix them outside of normal business hours, because your busiest times are evenings and weekends.

2. Guest and Staff Wi-Fi

Guest Wi-Fi isn't optional any more — customers expect it. But it needs to be separated from your business network. If a guest's device is compromised, it shouldn't be able to reach your POS system, your stock management, or your CCTV. A properly configured network has separate VLANs for guest access, staff devices, and business-critical systems.

3. Seasonal Staff Onboarding and Offboarding

Hospitality has the highest staff turnover of any industry. That means you're constantly creating and removing user accounts, email addresses, and system access. If offboarding isn't done properly, former staff still have access to your systems, your email, and potentially your payment data. This is a genuine security risk that most hospitality businesses ignore.

4. Multi-Site Connectivity

If you run more than one location, your IT needs to work across all of them. Centralised stock management, shared booking systems, consolidated reporting. Each site needs reliable internet with a failover option — because losing connectivity at one site shouldn't mean losing an evening's revenue.

5. Payment Security (PCI DSS)

If you take card payments — and you do — you need to meet PCI DSS requirements. That means your payment terminals are on a segmented network, your staff can't access cardholder data they don't need, and your systems are patched and monitored. A data breach involving payment information doesn't just cost money in fines — it destroys customer trust.

6. CCTV and Security Integration

Most hospitality businesses have CCTV. But the cameras are often running on the same network as everything else, with default passwords, unpatched firmware, and no remote access configured properly. CCTV should be on its own network segment, with secure remote viewing for managers and proper data retention policies.

What Most Hospitality Businesses Get Wrong

The biggest mistake is treating IT as something you only deal with when it breaks. In hospitality, "it breaks" usually means "during the busiest service of the week." Reactive IT in this industry is a recipe for lost revenue and angry customers.

The second mistake is not managing staff access properly. When someone leaves, their access should be revoked the same day — not left active for weeks because nobody remembered to tell the IT person.

Key takeaway: Hospitality IT needs to be fast, reliable, and available when you are — which means evenings and weekends. POS reliability, network segmentation, payment security, and proper staff access management aren't optional; they're the difference between a smooth service and a chaotic one.
